How to Auto-Forward Bank Statements to StatementOrganizer in New Outlook (Windows PC)

Avoid the manual uploads — now you can simply forward email statements from your bank account to StatementOrganizer.com automatically! Set up your email client following the instructions below — it won't take 5 minutes and will save a lot of time in the future!
Before you start
The email address where you can forward your statements to is:
Everything you forward there gets processed into your account automatically.
(Not sure which version you have? The New Outlook has a simple toggle labelled "New Outlook" near the top right and a left-hand Settings panel. If you see a ribbon with File, Home and a Rules Wizard instead, you're on Outlook Classic — use that guide.)
One important tip: add your email address in your settings
StatementOrganizer needs to recognise the address your statements come from. A forwarded email arrives from your address, so register it:
- Log in to StatementOrganizer.com.
- Go to your user settings.
- Find alternative email addresses (sometimes called approved or additional emails).
- Add each email address you'll forward from, and save.
This small step is usually the reason a forwarded statement doesn't show up.
Set up automatic forwarding
We'll build one rule with three conditions so only genuine statements are forwarded — not reminders, offers, or alerts.
Step 1: Open Rules
- Open New Outlook.
- Click the Settings gear icon (top right).
- Click Mail, then Rules.
- Click Add new rule.
(You can also right-click any email and choose Advanced actions → Create rule.)
Step 2: Name the rule and add conditions
- Give the rule a name, e.g. Forward statements to StatementOrganizer.
- Add a condition — From — and type the address your bank sends statements from.
- Click Add another condition — Subject includes — and type statement (you can add other words your bank uses).
- Click Add another condition — Has attachment.
All conditions apply together, so an email must match every one.
Step 3: Add the forwarding action
- Under Add an action, choose Forward to.
- Type upload@statementorganizer.com.
Step 4: Save
Click Save. From now on, only your bank's statement emails with an attachment get forwarded automatically.
Optional: sort your statement into a category as you send it
If you forward a statement by hand, you can file it into a category by putting the category name in the subject line.
Whatever you type as the subject is matched against your set-up categories. An exact match files the statement there automatically.
- Open the statement and click Forward.
- In To, type upload@statementorganizer.com.
- Replace the subject with the category name exactly as it appears in your settings — e.g. Business Current.
- Keep the attachment, then Send.
This works on manual forwards only — the automatic rule keeps the original subject.
A quick check
Forward a past statement by hand to upload@statementorganizer.com and confirm it lands in your account after a few minutes. If not, check the sender address is in your settings and that your bank's subject line actually contains the word you filtered on.
This guide reflects the New Outlook for Windows at the time of writing; Microsoft updates this app frequently, so labels may shift. Workplace Microsoft 365 accounts may block external forwarding — check with your IT administrator if forwarding fails.
