How to Auto-Forward Bank Statements to StatementOrganizer in Outlook Classic (Windows PC)

Avoid the manual uploads — now you can simply forward email statements from your bank account to StatementOrganizer.com automatically! Set up your email client following the instructions below — it won't take 5 minutes and will save a lot of time in the future!

Before you start

The email address where you can forward your statements to is:

upload@statementorganizer.com

Everything you forward there gets processed into your account automatically.

One important tip: add your email address in your settings

StatementOrganizer needs to recognise the address your statements are coming from. When Outlook forwards an email, it arrives from your email address — so make sure that address is registered on your account.

If you want statements forwarded from more than one email account, you can add those too:

  1. Log in to StatementOrganizer.com.
  2. Go to your user settings.
  3. Find the section for alternative email addresses (sometimes called approved or additional emails).
  4. Add each email address you'll be forwarding from, and save.

This is a small step people often miss — and it's usually the reason a forwarded statement doesn't show up.

Set up automatic forwarding

We'll build one rule with three filters working together, so that only real statements get forwarded — not payment reminders, marketing emails, or login alerts from the same bank:

  • From your bank's address — so only that bank's emails are considered.
  • With a statement-related word in the subject — so notices and offers are skipped.
  • That has an attachment — because your statement is the attached file.

Outlook applies all three together — an email must match every one before it's forwarded.

Step 1: Open the Rules window

  1. Open Outlook Classic on your PC.
  2. Click the Home tab on the ribbon.
  3. In the Move group, click Rules, then Manage Rules & Alerts.

(You can also click File, then Manage Rules & Alerts — it opens the same window.)

Step 2: Start a new rule

  1. Click New Rule.
  2. Under Start from a blank rule, click Apply rule on messages I receive.
  3. Click Next.

Step 3: Set your three filters

In the list of conditions, tick these three boxes:

  1. from people or public group
  2. with specific words in the subject
  3. which has an attachment

Now fill in the details at the bottom of the window:

  • Click people or public group, type the email address your bank sends statements from (the From address on the emails), and click OK.
  • Click specific words, type a word your bank uses — usually statement — click Add, then OK. You can add alternatives like e-statement; Outlook forwards if the subject contains any of them.

("which has an attachment" needs nothing filled in.)

Click Next.

Step 4: Set the forwarding action

  1. Tick forward it to people or public group.
  2. Click the underlined people or public group link.
  3. In the To box, type upload@statementorganizer.com.
  4. Click OK, then Next.

Step 5: Finish

  1. Click Next to skip exceptions.
  2. Name the rule, e.g. Forward statements to StatementOrganizer.
  3. Make sure Turn on this rule is ticked, then click Finish and OK.

Optional: sort your statement into a category as you send it

If you forward a statement by hand, you can tell StatementOrganizer which category to file it under — just put the category name in the subject line.

Whatever you type as the subject is checked against your set-up categories. If it matches one exactly, the statement is filed there automatically.

  1. Open the statement, click Forward (or Ctrl + F).
  2. In To, type upload@statementorganizer.com.
  3. Clear the subject and type the category name exactly as it appears in your settings — e.g. Personal Savings.
  4. Keep the attachment on the email, then Send.

This works on manual forwards only — the automatic rule keeps the original subject, so it can't apply a category for you.

A quick check

Forward a past statement by hand to upload@statementorganizer.com, wait a few minutes, and confirm it appears in your account. If a statement ever doesn't come through, it's almost always the sender address missing from your settings, or your bank's subject line not containing the word you filtered on.


This guide reflects Outlook Classic for Windows menus at the time of writing; Microsoft updates its apps periodically, so wording may differ slightly. Some workplace Microsoft 365 accounts block automatic forwarding to outside addresses by policy — if your rule doesn't forward, check with your IT administrator.
